Privacy Policy
How Tradie Checkpoint collects, uses, protects and shares personal information.
1. Our privacy commitment
Tradie Checkpoint, ABN 88 547 670 893, respects the privacy of business owners, authorised users, customers, workers, suppliers and other people whose information is handled through the Service. This policy explains how we manage personal information and is designed around the Australian Privacy Principles.

2. Information we collect
- Account information, including name, email, phone number, password account identifier, authentication status and security logs.
- Business information, including business name, ABN, contact details, website, logo and invoice payment details.
- Subscription information, including Stripe customer and subscription identifiers, status, trial and renewal dates and invoice status. We do not store full payment-card numbers.
- Customer and project information, including names, contact details, addresses, job history, correspondence, quotes, variations, invoices, approvals, photos and site records.
- Employee and payroll information, including employee name, email, employee number, pay settings, super fund and member details, hours, wages, deductions and payslips. Tradie Checkpoint intentionally does not request or store TFNs.
- Financial records, including expenses, receipts, supplier details, imported transactions, GST amounts and accounting exports.
- Technical information, including IP address where available to our infrastructure providers, browser and device information, timestamps, diagnostic logs and essential cookie or local-storage identifiers.
- Support and communications information you provide when contacting us.
3. How information is collected
- Directly from you during signup, onboarding, use of the Service, billing and support.
- From authorised users in the same business workspace.
- From customers, employees and other people who open a secure link, accept a document or provide information to a subscriber.
- From Stripe and other service providers that support the Service.
- From CSV files, receipt images and other records you choose to import or upload.
- Automatically through essential security, session and operational technology.
4. Why we use information
- Create, secure and administer accounts and business workspaces.
- Provide customer, quoting, job, variation, invoice, finance, payroll, rostering, document and communication features.
- Process subscriptions, confirm entitlement and respond to payment issues.
- Deliver requested emails and customer or accountant links.
- Provide address suggestions and optional AI-assisted receipt extraction.
- Prevent fraud, misuse and unauthorised access, investigate incidents and maintain audit records.
- Provide support, troubleshoot and improve reliability and usability.
- Meet legal, tax, accounting, employment, regulatory and dispute-resolution obligations.
- Send marketing only where permitted and allow recipients to opt out.
5. Subscribers and the people in their records
A subscribing business decides what customer, worker and supplier information it enters into Tradie Checkpoint and why. That business is responsible for providing required privacy notices, obtaining required consents and using the information lawfully. Tradie Checkpoint handles that information to provide the Service and follow the subscriber’s lawful instructions.
If your information appears in a subscriber’s workspace, you should usually contact that business first. We will assist the subscriber with an appropriate access, correction or deletion request where required.
6. When information is shared
- With authorised users of the relevant business workspace.
- With a customer, employee, accountant or other recipient when a subscriber chooses to send or share a document or secure link.
- With service providers supporting hosting, database, authentication, payments, email, security, address suggestions, support and optional receipt extraction.
- With professional advisers, insurers, auditors, regulators, courts or law enforcement where reasonably necessary or legally required.
- In connection with a genuine business restructure, financing or sale, subject to appropriate confidentiality and privacy protections.
- With another person where you direct us or consent.
7. Overseas handling
Tradie Checkpoint’s primary application and database hosting region is Sydney, Australia. Some supporting service providers operate internationally and may process or support limited information outside Australia. Likely locations may include Australia, the United States and other countries in which our listed providers operate or provide support.
Where Australian Privacy Principle 8 applies, we take reasonable steps appropriate to the circumstances to ensure overseas handling is consistent with applicable Australian privacy obligations, subject to lawful exceptions.
8. Security
We use layered safeguards appropriate to the information and risks involved. These include authenticated accounts, password controls, authenticator verification, workspace access controls, row-level database protections, encrypted network connections, restricted administrative access, provider security controls, logging and incident response.
No internet service is completely secure. You must use a strong unique password, protect authentication devices, limit staff access and promptly tell us about suspicious activity.
9. Retention and deletion
We retain information only for as long as reasonably needed to provide and secure the Service, maintain business and audit records, resolve disputes and comply with legal obligations. Retention depends on the record type, subscription status, subscriber instructions and applicable tax, employment and other laws.
When information is no longer reasonably required, we take reasonable steps to delete or de-identify it. Secure backups may retain information until the relevant backup cycle expires. Subscribers should export legally required business records before cancelling.
10. Access and correction
You may request access to or correction of personal information held by Tradie Checkpoint by emailing hello@tradiecheckpoint.com.au. We will verify identity and respond within a reasonable period. We may refuse or limit access where the law permits and will explain the reason where required.
11. Marketing
We may send product or business marketing where we have consent or are otherwise permitted by law. Marketing messages will identify the sender and include a functional unsubscribe method. Unsubscribing from marketing does not stop essential account, billing, security or requested service communications.
12. Data breaches
We maintain a process for assessing and responding to suspected data breaches. Where the Notifiable Data Breaches scheme applies and a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required. We may work through the relevant subscriber where the affected records belong to its workspace.
13. Complaints
Send a privacy complaint to hello@tradiecheckpoint.com.au with enough detail for us to investigate. We will acknowledge and investigate the complaint and aim to provide a response within 30 days. If you are not satisfied, you may contact the Office of the Australian Information Commissioner at oaic.gov.au.
14. Changes and contact
We may update this policy as the Service, providers or law changes. The current version and effective date will be available in the Legal & Privacy centre.
